Custody and Loaned Property Best Practices
Protect third-party property while keeping ownership and financial recognition separate.

Before accepting custody
Agree on owner identity, purpose, term, insurance/handling terms, handover location, condition standard, and return evidence. Photograph or describe condition in neutral factual language.
During custody
Keep the lender’s external reference visible, record every checkout/transit event, and monitor expiry alerts. Do not lend the property onward, modify it, or move it to a higher-risk setting without authority from the agreement.
At return
Compare against the intake record, capture the receiver and exit condition, and keep discrepancies open until the owner/authorized process resolves them. A loss investigation is not an automatic personal chargeback.
