Minimum intake evidence

Record the lender, agreement number, purpose, start and expected return dates, entry condition, external identifier, current location, and receiving evidence. Capture only the contact information needed to meet the agreement.

End-to-end operator runbook

  1. Confirm ownership. The item remains in Loaned Assets even if it is stored or used by FPH.
  2. Inspect and record condition. Photograph or describe differences before accepting custody.
  3. Register and label. Issue an FPH identity carrier without erasing the lender’s identifier.
  4. Set return controls. Confirm the due date, insurance or handling terms, and accountable custodian.
  5. Close correctly. Return with receipt and condition evidence, or renew through the agreement workflow.

[!warning] A Loaned Asset does not become an FPH cost, depreciable asset, or lease merely because it is in FPH care.
