Live Shift Tracker
Live staff shift state, coverage cards, refresh controls, and time-tracking review.
First created Last updated
Overview
Live Shift Tracker shows the current state of staff and volunteer shifts during operations. It groups live coverage by active HR shift location, then separates people currently clocked in from the next scheduled shifts.
This page is a monitoring surface. It does not replace the roster editor. If a shift, location, person, or expectation is wrong, fix the source record in Staff Roster or Human Resources.

Inputs and controls
| Input or control | What it changes | Before using |
|---|---|---|
| Refresh | Reloads live shift data for the event. | Refresh before escalating missing coverage because another lead may have just updated a shift state. |
| Active location cards | Shows each active shift location from HR. | If no cards appear, add or activate shift locations in Human Resources. |
| Location title | Displays the location name. | Names come from HR shift locations, so rename unclear locations there. |
| Location description | Displays the location notes. | Use HR location descriptions for practical onsite context. |
| Currently on shift | Lists people with an active actual start time at that location. | Treat this as the live clocked-in list, not the full roster. |
| Next two shifts | Lists the next two scheduled shifts at the location. | Use it to anticipate coverage changes and handoffs. |
| Shift item title | Shows the person’s display name, username, position title, or Unassigned fallback. | If the wrong name appears, check the roster assignment username and linked volunteer/staff data. |
| Shift item meta | Shows the position or department plus scheduled start and end time. | Use this to confirm what role the person is covering. |
| Started time | Shows the actual start time for a currently active shift. | Missing or incorrect actual time usually means shift tracking behavior needs review. |
| Scheduled time | Shows when an upcoming shift is expected to begin. | Use this before contacting a person early. |
Page states
| State | What it means | What to do |
|---|---|---|
| Showing active locations from the published roster | The roster is published, and the tracker is showing active location coverage. | Use it as the event-day monitoring view. |
| Roster is still in draft | The tracker can preview active locations before publishing. | Treat the data as planning context until the roster is published. |
| No registered active locations yet | HR has no active shift locations for this event. | Add locations in Human Resources before using the tracker. |
| Nobody is currently clocked in at this location | No active started shift exists for that location. | Check whether a shift should be active, then confirm with the location lead. |
| No upcoming scheduled shifts at this location | The roster has no next shifts for that location. | Confirm whether coverage is intentionally ending or a shift is missing. |
Flowchart context
Active Event Workflow checks this page when HR issues affect live coverage. Close Out an Event uses it to understand who worked and what follow-up remains.
Common mistakes
Do not treat a missing start timestamp as proof someone did not work. Confirm with location leads, then correct the record through the proper HR or roster workflow.
